Spam Filtering Solution

Assiut University Network has recently implemented an improved spam filtering solution to reduce incoming email spam (learn more about spam here). The new solution will impact all University email accounts on the university main mail server. You may also use your own spam filtering software with your favorite email client.

How does it work?
The solution will quarantine suspect email on a separate disk space to prevent overload of individual email boxes and university email resources. Your spam will be automatically filtered. To ensure that no legitimate messages have been incorrectly reported as spam, you will periodically receive a report emailed to your account from the spam filter agent to notify you of your mail blocked in the spam quarantine. You can then request from the spam filter agent to release any message you like to recover from the spam quarantine.

Any email in the spam quarantine which has not been acted upon will be automatically deleted after 10 days. Once deleted, it cannot be retrieved. Therefore, we encourage everyone to review their quarantined email on a regular basis.

What do I need to do?

The new spam solution will block suspected incoming emails before they reach your Inbox. These emails might be spam, or might contain inappropriate or offensive material or even viruses. You will be able to review and manage your blocked emails in two methods.  

First Method (Email Notification)
You will receive a notification email at regular intervals from the antispam agent (
antispam AT aun.edu.eg) with a list of your emails that have been recently blocked in the spam quarantine.
If you are using the web-based AUN email interface, all these emails will be directed automatically to your spam folder.  In the notification email shown below, click on the receive link in the action column to release a message onto your Inbox folder.

Second Method (Personal Email Manager)

The Personal Email Manager (PEM) contains a list of all your emails blocked in the spam quarantine, and provides handy functions that allow you to:

  • Decide whether you want to receive a particular email.

  • Delete all your blocked emails.

  • Ensure that e-mails from legitimate senders (such as, your friends) are not blocked in future. You can do this by adding their email address to an Always Allowed list.

  • Ensure that emails from specific senders are blocked in future. You can do this by adding their

  • email address to an Always Deleted list.

  • Bookmark the page so that it is easier to keep regular checks on your emails.

To login to the personal email manager (PEM), it will require your e-mail account and password (which is different from your email account password). To obtain your PEM password for the first time (or a new one if you've lost it), click on the link "send me a new password".

Type your email account and click send new password.

The personal email manager will send you an e-mail with the new password (this email is to appear in your spam folder on the AUN web interface). Now you can login to PEM and check your blocked emails. Once logged in, you will get a page (similar to the one shown below) that entitles you to act upon all your blocked emails and set your spam options.


 

Please remember to check your blocked emails regularly as any email in the spam quarantine which has not been acted upon will be automatically deleted for good after 10 days.
